Restoration Estimator & Claims Specialist

Responsibilities

We are representing a confidential restoration services organization seeking a skilled Restoration Estimator & Claims Specialist to join their remote team. In this role, you will own the complete lifecycle of restoration estimates and insurance claims, from initial documentation through final payment collection. Your work will directly impact cash flow, managing an estimated $2–4 million in annual volume.

Your day-to-day responsibilities include:

• Preparing complete and accurate Xactimate invoices within 24 hours of project completion
• Creating detailed sketches and scope documentation that meet restoration industry and insurance carrier standards
• Compiling comprehensive claim files including photos, moisture logs, signed agreements, and supporting records
• Submitting estimate and documentation packages to insurance carriers or adjusters within 48 hours
• Maintaining structured follow-up schedules for all active claims through approval and full payment
• Identifying and resolving claim discrepancies, supplement needs, and adjuster objections
• Communicating directly with clients regarding their financial responsibility on insurance projects
• Managing invoicing, collections, and payment follow-up for private-pay projects
• Maintaining detailed records of all communications with clients, carriers, adjusters, and internal teams
• Monitoring and responding to shared company and individual email inboxes
• Collaborating with Project Managers to keep scope, documentation, estimates, and claim status aligned

What We're Looking For

Required qualifications:

• Hands-on experience using Xactimate for estimating and sketching
• Xactimate Level 2 (Proficiency) certification—this is mandatory
• Previous experience with insurance claim closure in property restoration, construction, or a closely related field
• Strong understanding of the property insurance claims lifecycle, including estimate submission, supplements, adjuster negotiations, and payment collection
• Excellent written and verbal English communication skills
• Strong attention to detail and documentation accuracy
• Excellent organizational and time-management abilities
• Proven ability to manage high volumes of active files and consistently meet deadlines
• Strong customer service skills with professional phone and email presence
• Comfortable managing shared email inboxes and collaborating with cross-functional teams

Preferred qualifications:

• Xactimate Level 3 (Mastery) certification
• Experience with water damage, mold remediation, fire restoration, reconstruction, or abatement claims
• Familiarity with restoration CRM or job-management platforms
• IICRC certifications
