Role Overview

As Executive Assistant Operations Lead, you'll serve as a trusted operations partner, bridging executive vision with day-to-day execution. You'll manage critical administrative and operational functions, ensuring seamless coordination across teams and departments. Your role extends beyond traditional assistance — you'll identify process improvements, streamline workflows, and support the organisation's strategic initiatives through meticulous planning and oversight.

Core Duties

• Provide comprehensive executive support to senior leadership, including calendar management, meeting coordination, and travel arrangements
• Oversee operational processes and workflows to enhance efficiency and productivity across departments
• Manage documentation, records, and information systems with strict confidentiality and attention to detail
• Coordinate cross-functional projects and initiatives, liaising between teams and external stakeholders
• Prepare reports, presentations, and correspondence for executive communications
• Identify operational bottlenecks and implement solutions to optimise processes
• Support event planning and logistics for company functions and client engagements

What We're Looking For

• Proven experience as an executive assistant or operations coordinator in a professional setting
• Exceptional organisational and time management abilities with strong attention to detail
• Advanced proficiency with MS Office, email systems, and office management software
• Outstanding written and verbal communication skills in English
• Discretion, professionalism, and ability to handle sensitive information confidentially
• Proactive problem-solving mindset with initiative to improve processes independently
• Ability to manage multiple priorities and adapt to a fast-paced environment
• Strong interpersonal skills and capacity to work effectively with all levels of management
