Day-to-Day Responsibilities

• Manage complex executive calendars, coordinate high-level meetings, and schedule time with global stakeholders across multiple time zones
• Prepare meeting agendas, take detailed notes, and distribute follow-up documentation to ensure alignment across the Global Patient Safety organization
• Coordinate domestic and international travel arrangements, including logistics for executive visits and conference attendance
• Provide administrative support for cross-functional projects, maintaining organizational systems and tracking deliverables
• Serve as a liaison between the executive and internal departments, managing communications and ensuring seamless information flow
• Maintain confidential records and handle sensitive information with the utmost discretion
• Support special projects and initiatives as priorities shift within the organization

Requirements

• Extensive experience in executive-level administrative support, ideally at a large pharmaceutical or healthcare organization
• Proven ability to manage multiple priorities in a complex, global environment
• Exceptional organizational and time management skills with meticulous attention to detail
• Outstanding written and verbal communication abilities, with proficiency in Microsoft Office and other business software
• Demonstrated ability to handle sensitive and confidential information with discretion and integrity
• Strong interpersonal skills and comfort interacting with senior-level executives and diverse cross-functional teams
• Bachelor's degree or equivalent professional experience in administration or a related field
