We are representing a confidential autonomous systems organization in their search for a Recruiting Systems Specialist. Our client is a high-growth technology company scaling rapidly across multiple global offices. This role is central to maintaining the recruiting infrastructure that powers their world-class talent acquisition function.

As the Recruiting Systems Specialist, you will be the steward of the applicant tracking system and recruiting technology stack, ensuring every recruiter, hiring manager, and candidate experiences a seamless, data-informed hiring process. You'll maintain day-to-day operations while identifying and implementing process improvements that scale with organizational growth.

Responsibilities

• Administer and maintain the recruiting technology stack, including Ashby ATS—configuring workflows, interview plans, permissions, templates, and monitoring data integrity across global teams
• Provide first-line support for recruiters and hiring managers: triage tickets, troubleshoot issues with offers, approvals, scheduling, and candidate communications, and escalate systemic problems with clear documentation
• Manage core recruiting operations workflows including requisition management, approval routing, and offer process execution
• Identify recurring friction points and implement process improvements that accelerate hiring while maintaining quality as the organization scales
• Support analytics initiatives by building and maintaining reports and dashboards, auditing data quality, and helping interpret pipeline health, funnel conversion, and capacity metrics
• Deploy AI-powered solutions across recruiting workflows to automate repetitive tasks, improve candidate experience, and reduce manual data entry
• Partner with People Operations and IT teams on onboarding handoffs, system integrations, and access management to keep cross-functional processes aligned
• Write and maintain documentation, SOPs, and enablement materials to ensure process changes are adopted consistently

What We're Looking For

Required qualifications:

• Minimum 2 years of experience in recruiting operations, recruiting coordination, HR technology, or systems administration
• Hands-on Ashby experience required—including workflow and interview plan configuration, permissions, and building/maintaining reports
• Proven experience implementing process improvements or automation, including AI/ML tooling, with measurable operational results
• Strong analytical skills: comfortable working in spreadsheets and ATS reporting, identifying data quality issues, and translating findings into actionable recommendations
• Systems thinking orientation—ability to map dependencies across tools, teams, and processes and anticipate downstream effects of changes
• High attention to detail and strong follow-through in high-volume, fast-changing environments with sound judgment on escalation decisions
• Clear written communication skills and a service-oriented mindset toward recruiters, hiring managers, and candidates

Preferred qualifications:

• Experience supporting rapidly scaling or global recruiting teams
• Familiarity with HRIS platforms (Workday preferred), scheduling tools, sourcing platforms, or assessment tools and their ATS integrations
• Light scripting, API, or no-code automation experience (Zapier, Workato, Python)
