About This Opportunity
We are representing a confidential high-growth SaaS client seeking an exceptional Executive Assistant to support two senior leaders within their commercial and customer experience functions. This is a rare opportunity to work at the heart of a fast-scaling organisation, providing critical operational and strategic support during a pivotal growth phase.
Our client operates at the intersection of enterprise software and AI-driven automation, serving global organizations across multiple sectors. You'll be supporting executives who are driving category-defining work in their field, and your contribution will directly enable their ability to scale the business.
Responsibilities
As the trusted right hand to two C-level executives, you will:
- Manage complex calendars across multiple time zones, ensuring seamless scheduling and prioritization of high-impact activities
- Act as gatekeeper and primary point of contact for key stakeholders, prospects, and customers on behalf of the executives
- Own email and communication filtering, drafting and responding to correspondence as needed
- Plan and coordinate internal and external meetings, including agenda preparation, action item tracking, and timely follow-ups
- Assist with board materials, investor updates, and executive briefing documents
- Organize all travel arrangements including flights, hotels, transfers, and visas, with detailed itineraries and ability to handle last-minute changes
- Manage operational and administrative tasks including expenses, invoices, and budget tracking
- Handle confidential information with the highest level of discretion and professionalism
- Proactively identify and implement systems, tools, and processes that improve productivity and reduce administrative workload
- Anticipate potential issues before they arise and solve problems efficiently
What We're Looking For
Our ideal candidate brings:
- 3-5 years of experience as an Executive Assistant, Personal Assistant, Chief of Staff, or Founders Associate, ideally in a high-growth startup or tech environment
- Exceptional organizational skills with meticulous attention to detail and outstanding multitasking abilities
- London-based availability with flexibility for 3 days per week in the office and occasional travel
- Flexibility to provide support during off-hours across European and US time zones
- Tech-savvy proficiency with modern productivity tools such as Slack, Notion, and Google Suite
- Ability to ruthlessly prioritize, focusing on outputs over inputs, with a strong bias to action
- Outstanding communication skills—verbal, written, and presentation—with the ability to be exceptionally articulate, concise, and clear
- Strategic thinking combined with hands-on execution capability, always asking "what's the next step?"
- Proactive ownership mindset, pushing initiatives forward and making the best use of available resources
- Empathy, reliability, and collaborative spirit with minimal ego and a commitment to continuous improvement
- Ability to build rapport and influence across all levels, from distinguished executives to junior operators
