About This Opportunity
Our talent team is representing a confidential education and training organization in Berlin that's looking for a (Senior) Program Operations Manager to join their growing team. This role sits at the operational heart of their training programs, ensuring courses run smoothly across multiple locations while continuously improving processes and systems.
You'll take end-to-end responsibility for course operations, coordinate internal teams and external partners, and solve complex operational challenges from planning through execution. This position offers significant autonomy—you'll make independent decisions while developing structures and processes that make operations more efficient and scalable.
Responsibilities
- End-to-End Course Operations: Own the complete course lifecycle from day one to completion, ensuring operational deadlines are met across all stakeholder groups. Act as a translator between departments and participants, finding quick solutions to short-term challenges.
- Multi-Location Management: Oversee operations across locations in Berlin, Hamburg, Bielefeld, and Munich, ensuring smooth processes while developing strategic scaling approaches.
- Continuous Process Improvement: Regularly analyze existing workflows, identify opportunities for optimization, automation, or streamlining. Ensure all current processes are documented in a user-friendly manner.
- Multi-Stakeholder Project Leadership: Implement improvement projects with internal and external stakeholders, managing them through to final delivery.
- External Stakeholder Management: Manage relationships with external partners including co-working spaces, publishers, and certification bodies. Negotiate contracts and ensure their work contributes to successful course delivery.
What We're Looking For
Education & Experience:
- Completed university degree or vocational training in business, social sciences, or natural sciences
- Several years of practical experience in dynamic startup or scale-up environments, ideally with multi-stakeholder projects in operations

- Problem-Solving: Ability to quickly understand different perspectives and proactively find independent solutions. You translate problem-orientation into solution-orientation and see possibilities where others see limitations.
- Hands-On Approach: Comfortable rolling up your sleeves for spontaneous tasks and taking ownership of new responsibilities in a small team environment.
- Stakeholder & Project Management: Capable of structuring complex projects, ensuring deadlines are met through close coordination with stakeholders. You can prioritize independently, juggle multiple priorities, and maintain overview at all times.
- Communication Excellence: Strong at understanding problems and guiding users to solutions in simple terms, ensuring stakeholders always feel supported.
- Agility: Quick to adapt to new circumstances and comfortable working flexibly across different operational altitudes.
- Tech & AI Affinity: Easy adoption of new tools combined with enthusiasm for continuous learning about AI and identifying ways to simplify your work.
- Language: Negotiation-level German proficiency, written and spoken (minimum C1 level)

Pay
