Responsibilities

Our client, a global clinical research and services organization, is seeking a Payroll Specialist to execute accurate, compliant, and timely multi-country payroll operations. This position sits within a shared-services People & Culture team and plays a central role in maintaining payroll integrity and employee trust across a diverse international footprint.

You will be responsible for:

  • Full-cycle payroll processing (40%): Execute payroll runs for employees across multiple jurisdictions including Canada, the United States, United Kingdom, Germany, Hungary, Poland, Romania, and global EOR arrangements. Validate inputs (new hires, terminations, salary changes, bonuses, statutory deductions), reconcile data, and manage government remittances and year-end filings such as T4s, W-2s, and country-specific equivalents. Manage off-cycle payrolls with proper documentation and audit trails.
  • Stakeholder service and communication (35%): Serve as the primary point of contact for employee payroll inquiries. Act as escalation point for complex issues requiring advanced judgment. Collaborate with Finance on reconciliations, journal entries, and budget reporting. Coordinate with HR on employee lifecycle events (leaves, benefits, terminations) and liaise with external vendors and government agencies on remittances and regulatory matters.
  • Compliance and audit (10%): Monitor changes to payroll legislation, tax regulations, and employment standards across all operating jurisdictions. Prepare documentation for internal and external audits, ensure alignment with SOX controls and SOC 2 requirements, and identify and escalate compliance risks with recommended corrective actions.
  • Continuous improvement and systems (10%): Identify opportunities to streamline payroll workflows and improve data accuracy. Support configuration, testing, and optimization of payroll and HRIS modules. Contribute to modernization initiatives including vendor transitions and system implementations. Maintain payroll data governance practices.
  • Team mentorship (5%): Provide guidance and on-the-job mentoring to junior payroll staff. Develop training materials, process guides, and documentation to build team capability and reduce knowledge dependency.

What We're Looking For

Our talent team is seeking a candidate with:

  • 4–6 years of hands-on payroll experience, preferably in a multi-country environment
  • Post-secondary certificate or diploma in payroll, accounting, or a related field
  • Fluent written and oral communication skills in English (additional European languages a strong asset)
  • In-depth knowledge of global payroll legislation across jurisdictions such as the United Kingdom, Germany, Poland, Romania, Hungary, Canada, and the United States
  • Hands-on experience with payroll systems, HRIS platforms, and payroll reconciliation processes
  • Familiarity with global EOR payroll models and multi-country vendor management
  • Working knowledge of SOX controls and SOC 2 requirements
  • Advanced proficiency in Microsoft Excel for data analysis and reporting
  • High attention to detail, ability to manage competing deadlines, and professional discretion with confidential information
  • Professional payroll designation is strongly preferred
