AI-Savvy Executive & Operations Specialist

About This Opportunity

We are representing a confidential client operating across multiple business ventures. This is a unique opportunity to serve as a strategic operational partner to a founder, working across diverse projects and industries. This role goes far beyond traditional executive assistance—you'll be turning ideas into action plans, solving complex problems, and driving execution across the organization.

A defining requirement of this position is active proficiency with AI tools such as ChatGPT, Claude, Gemini, or similar platforms. You should be able to demonstrate how you've used these tools to research, optimize workflows, solve problems, and increase productivity in your previous work.

Responsibilities

• Provide high-level executive and operational support to the founder across multiple business ventures and projects
• Transform broad objectives and ideas into clear, actionable next steps and execution plans
• Leverage AI tools extensively for research, problem-solving, planning, documentation, content development, and workflow optimization
• Research unfamiliar topics independently and identify practical solutions and approaches
• Manage and coordinate multiple concurrent projects while maintaining organization of priorities, deadlines, and follow-ups
• Support new business initiatives, digital projects, email campaigns, research, and special assignments
• Assist with operational, administrative, and financial coordination as required
• Identify automation opportunities and process improvements across existing workflows
• Coordinate with external vendors, contractors, suppliers, and stakeholders
• Maintain clear documentation and track decisions, deliverables, and action items
• Anticipate bottlenecks or challenges and proactively recommend solutions
• Take full ownership of assignments from research through execution and follow-up
• Evaluate approaches and confidently suggest alternatives when more efficient methods exist

What We're Looking For

• Previous experience in Executive Assistance, Operations, Project Coordination, Founder Support, or similar capacity
• Direct experience supporting a founder, CEO, entrepreneur, or senior executive strongly preferred
• Demonstrated practical proficiency with AI tools (ChatGPT, Claude, Gemini, or similar platforms)
• Ability to show concrete examples of how you've used AI to solve problems, improve workflows, conduct research, or boost productivity
• Excellent problem-solving and independent research capabilities
• Strong initiative and ability to work autonomously with minimal supervision
• Capability to take ambiguous objectives and independently determine appropriate next steps
• Excellent organizational and project-management skills with ability to juggle multiple shifting priorities
• Excellent written and verbal English communication skills (C1 or C2 level)
• Strong technological aptitude and ability to quickly master new platforms and systems
• Exceptional attention to detail with consistent follow-through
• Comfort with questioning assumptions, sharing ideas, and recommending better approaches rather than simply executing instructions
• Strong sense of ownership, accountability, and work ethic

Pay

Pay via Get A Job.ai: $1,200 - $1,400 per month

Benefits include: 10 days paid time off per month, 3 sick days, and 6 US Federal Holidays
