Recruiting & HR Operations Manager

About This Role

We are representing a confidential health and wellness organization in Berlin that is scaling rapidly and needs to professionalize its recruitment function. Until now, senior leadership has handled most recruiting activities directly—from initial screening through final interviews, pipeline management, and operational HR steps. They've reached the stage where recruiting needs dedicated focus, structure, and someone who can take full operational ownership.

As Recruiting & HR Operations Manager, you'll become the central force driving the entire candidate journey. You won't make final hiring decisions alone, but you'll ensure that leadership only meets with carefully vetted, high-quality candidates in final rounds. Your work will directly impact how quickly positions are filled, how professionally candidates experience the organization, and how effectively the team can grow.

Responsibilities

• Take operational ownership of the end-to-end recruiting process, from application through onboarding
• Conduct first and second-round interviews using structured interview guides, assessing candidates both technically and culturally, and determining who advances
• Maintain the ATS, manage applicant pipelines, send rejections, set follow-ups, and ensure no candidate falls through the cracks
• Coordinate final-stage interviews, prepare assessments organizationally, gather references when needed, and keep the process moving smoothly after decisions are made
• Manage post-offer HR operations including employment contracts, contract modifications, onboarding and offboarding coordination, and ensuring new team members have equipment and laptops ready from day one
• Deploy active sourcing strategies when needed to proactively identify and engage qualified candidates
• Represent the organization professionally in all candidate touchpoints, creating a strong first impression

What We're Looking For

Required experience and skills:

• Several years of experience conducting interviews and selecting candidates—you've led many conversations and confidently assessed people
• Hands-on experience with an applicant tracking system or comparable candidate/pipeline management tool
• Strong command of candidate communication, interview techniques, and process management
• Excellent written and verbal communication skills in German
• Solid understanding of recruiting processes from application through hire
• Experience with active sourcing is a plus but not required
