Responsibilities

We are representing a confidential legal-tech organization based in Cottbus, Germany. This customer service role serves as the primary point of contact across multiple channels including phone, ticketing systems, and social media. You will support clients through complex administrative processes, providing clear guidance in accessible language.

• Respond to inquiries via phone, email, ticketing systems, and social platforms with professionalism and empathy
• Explain services and processes to clients, many of whom are navigating unfamiliar systems
• Provide status updates on cases and communicate next steps in clear, simple language
• Schedule appointments and manage follow-up communications
• Request missing documents and explain why they are needed
• Document all interactions accurately in CRM systems (e.g., HubSpot)
• Coordinate with case management and legal teams, ensuring smooth handoffs with full context
• Handle complaints and frustrations calmly, working toward constructive resolutions
• Identify recurring questions and suggest process improvements to reduce friction

What We're Looking For

• Experience in customer service or strong interest in client-facing work; career changers welcome
• Genuine enthusiasm for helping people and active listening skills
• Patience and composure, even when answering the same question multiple times
• Empathy and intercultural sensitivity; you work with clients from diverse backgrounds
• Excellent German communication skills, both written and verbal (additional languages are a plus)
• Ability to explain complex topics in simple, accessible terms
• Customer-focused mindset combined with strong teamwork abilities
• Reliability and organizational skills to manage multiple inquiries without losing track
• Calm demeanor during high-pressure or emotionally charged situations
• Comfortable with standard office technology; CRM experience (HubSpot or similar) is helpful but not required
• Attention to detail in documentation—your notes support the entire team
• Discretion and respect for confidential information
• Willingness to learn—legal knowledge is not required; we provide training
• No formal degree or certifications necessary; practical skills matter most

Pay
