What This Role Involves

As an Administrative Assistant III, you'll be the organizational backbone for our PMH department, ensuring smooth operations across administrative functions and educational initiatives. This is a hands-on role where your attention to detail, initiative, and interpersonal skills directly impact how effectively our clinical and academic teams can deliver care and training to the communities we serve in the Greater Toronto Area.

Your Responsibilities

  • Manage calendars, schedule appointments, and coordinate meetings for multiple clinicians, educators, and administrative staff
  • Prepare and maintain accurate records, documentation, and correspondence using department systems and databases
  • Provide administrative support for educational programmes, including coordination of course materials, attendance tracking, and participant communication
  • Handle phone inquiries, email correspondence, and visitor reception with professionalism and discretion
  • Arrange travel, process expense claims, and manage departmental supplies and procurement
  • Support special projects, events, and initiatives as assigned by department leadership
  • Maintain confidentiality and comply with health information privacy protocols at all times

What We're Looking For

  • Proven experience as an administrative professional in a healthcare, university, or complex organizational setting
  • Excellent written and verbal communication skills with the ability to interact professionally with clinical staff, trainees, and external partners
  • Strong organizational abilities, time management, and ability to prioritize multiple competing demands
  • Proficiency with Microsoft Office, email systems, and database or scheduling software
  • Demonstrated discretion and ability to handle sensitive or confidential information appropriately
  • Problem-solving mindset and willingness to take initiative beyond assigned tasks
  • Knowledge of healthcare environments or university administration is an asset
