Role Overview
As an Administrative Assistant II at University Health Network, you'll provide comprehensive administrative and coordination support to research departments and senior staff. You'll manage schedules, communications, documentation, and logistics while ensuring smooth day-to-day operations across your team. Your work enables researchers and clinicians to focus on their core mission by handling the critical behind-the-scenes functions that keep operations running effectively.
Key Responsibilities
- Schedule and coordinate meetings, appointments, and events for research teams and executives
- Prepare, format, and maintain correspondence, reports, and research-related documentation
- Manage databases, filing systems, and information organization to ensure easy access and accuracy
- Coordinate with internal departments and external partners to support project execution and communication
- Process administrative requests, track action items, and follow up on time-sensitive matters
- Provide general administrative support including expense tracking, travel arrangements, and office coordination
- Assist with meeting preparation, minute-taking, and documentation of decisions and next steps
Who We're Looking For
- Proven experience in an administrative or coordinator role, ideally in a research, healthcare, or university setting
- Strong organizational skills with the ability to manage multiple priorities and competing deadlines
- Excellent written and verbal communication skills appropriate for professional healthcare environments
