Operations Manager (m/w/d) | Coaching & Organisation

Responsibilities

We are representing a well-established coaching and consulting organization based in Münster that delivers structured year-long development programs across the DACH region. Our talent team is seeking an Operations Manager to ensure flawless coordination behind the scenes.

Your core responsibilities include:

• Client and participant onboarding: When a new client organization begins a program, you ensure everything is organized from day one—participant registration, group assignments, calendar invites, communication channels, platform access, and assessment tool coordination. Clients should never need to chase information.
• Managing twelve-month program lifecycles: Track participant changes, upcoming sessions, information distribution, materials preparation, certificates, and open items across multiple cohorts running simultaneously. Nothing falls through the cracks.
• Process execution and improvement: Follow established workflows with precision and documentation. Simultaneously identify opportunities to eliminate manual work, reduce errors, and digitize processes using tools including Airtable, Excel, learning management systems, and AI.
• Live training preparation: Coordinate logistics for in-person coaching sessions in Münster—participant lists, name badges, materials, assessments, room setup, and technical requirements. You'll actively support events and see firsthand the impact of your organizational work.
• Digital transformation participation: Learn new tools and contribute ideas for process optimization. You don't need to be an automation expert today, but you should be eager to develop these skills and eventually build simple workflows yourself.

You will not be selling or delivering coaching. Your focus is clear: keep the operational engine running reliably. When you say something is complete, the team can count on it being complete.

What We're Looking For

Exceptional organizational ability: You manage multiple programs, participants, deadlines, and open items simultaneously using systems—not just memory.

Reliability and process discipline: You work carefully, follow through on commitments, and verify tasks are truly finished. You catch errors before they reach clients.

Excel and digital fluency: Spreadsheets are part of your daily workflow. You learn new software quickly and are genuinely interested in leveraging modern tools and AI to improve your work.

Ownership and communication: You work independently, handle professional client and colleague interactions, and flag issues early—ideally with proposed solutions.

Background: Commercial training in office management, industry, or similar fields fits well. Experience in executive assistance, project coordination, customer service, event organization, or administrative processing can also be excellent preparation. Your work approach matters more than your previous job title. Industry knowledge is not required at the start.

Pay

This is an unlimited full-time position with a confidential coaching organization. The role offers growth potential from operational execution toward process ownership, independent projects, and digitalization initiatives without requiring a management track.
