Virtual Operations & Marketing Assistant

About This Opportunity

We are representing a confidential food retail client in their search for a Virtual Operations & Marketing Assistant. This newly established business has built a custom website with integrated CRM, social media and email marketing capabilities, and EPOS connectivity. As they scale, they need someone who can bridge the gap between systems administration and hands-on marketing execution.

This is a remote role open to candidates based in the Philippines or South Africa.

Responsibilities

• Build and manage the complete customer journey from first contact through purchase, ensuring clean data capture at every touchpoint
• Design and implement lead funnels and lead magnets in collaboration with leadership
• Identify workflow gaps across the website CRM, EPOS system, and marketing platforms, then establish structure and processes as the business grows
• Set up and manage the marketing suite including email campaigns, social media scheduling, review monitoring, and customer enquiry responses
• Triage the business email inbox, filtering messages requiring leadership attention from those you can handle directly
• Create labels and marketing materials in Canva, prepare print-ready assets, and manage print procurement and delivery tracking
• Build and maintain supplier and competitor databases, organizing existing information and ongoing research
• Document standard operating procedures from video content and notes for printing and staff use
• Research market trends and proactively propose marketing campaign ideas
• Set up VoIP phone systems with future scope for AI-assisted call handling
• In a later phase, support deployment of AI agents for review responses, email triage, supplier price tracking, and other automated business processes

What We're Looking For

• Experience supporting e-commerce, retail, or food service operations in fast-paced environments
• Working knowledge of automation platforms such as Zapier, Make.com, or n8n
• Experience with AI tools and custom GPTs
• Strong Canva skills; Adobe Express is a plus
• Graphic and print design ability—please include a design portfolio with your application
• Experience with email marketing platforms, ideally Klaviyo; Mailchimp experience also welcome
• Comfortable using social media scheduling tools such as Buffer
• Good working knowledge of Google Workspace
• Strong written and spoken English with the ability to produce clear, actionable reports
• Previous experience in the food industry is desirable but not essential
