About This Opportunity

We are representing a confidential nearshore staffing organization serving U.S.-based construction and trade companies. Our client is seeking a Senior Project Coordinator to join their remote operations team supporting domestic project management functions across the construction lifecycle.

This is a fully remote role based in Latin America, with working hours aligned to U.S. Central Daylight Time. You will coordinate critical administrative, scheduling, and documentation workflows for multiple concurrent construction projects, partnering closely with U.S.-based project managers to ensure on-time, on-budget delivery.

Responsibilities

  • Attend virtual pre-bid and project meetings, documenting key decisions and action items
  • Review project documentation within 48 hours of sale to outline scope and administrative requirements
  • Draft agendas for pre-construction meetings and prepare comprehensive job foreman packets
  • Submit project documents on schedule and track progress through approval pipelines
  • Assist in creating project plans and schedules at least one week before project start
  • Coordinate material orders digitally and verify supplier quotes against budgets
  • Draft site staging plans and material delivery schedules within 48 hours of quote approval
  • Verify safety plans, hazard assessments, and subcontract agreements are documented before project commencement
  • Coordinate administrative processes for permits, insurance certificates, and bonds
  • Generate and submit change orders and RFIs within 48 hours of receiving notice
  • Compile weekly progress reports tracking hours, materials installed, and customer issues
  • Review job costs, invoices, and budgets to support financial tracking
  • Update project schedules weekly within project management software
  • Report project completion status to accounting one week before billing dates
  • Draft customer and general contractor communications within 24 hours to address issues
  • Compile post-job evaluation data within one week of project completion
  • Ensure timely digital submission of project closeout documents and warranty payment processing

What We're Looking For

  • Education: Bachelor's degree in Business Administration, Construction Management, Project Management, or related field preferred
  • Experience: 3–5 years in project coordination, administration, or the construction/trades industry
  • Technical Skills: High proficiency in Google Workspace, Microsoft Office, Buildertrend, and project management software (Procore, BIM360, or similar platforms)
  • Work Environment: Reliable high-speed internet and home office setup capable of supporting 100% remote work
  • Availability: Ability to work hours overlapping with U.S. Central Daylight Time
  • Language: Professional-level English required for client-facing communication
  • Skills: Strong organizational abilities, attention to detail, and capacity to manage multiple concurrent projects under tight deadlines
