(Senior) Payroll & HR Operations Manager (m/w/d)

About This Opportunity

We are representing a fast-growing e-commerce organization based in Hamburg that has experienced remarkable growth over recent years. Our client's HR team is expanding to support continued scaling, and we're seeking a talented professional to professionalize HR operations while supporting payroll preparation.

This role combines strategic HR operations management with hands-on payroll expertise. You'll work closely with senior leadership, the payroll team, tax advisors, and department heads to ensure HR processes are efficient, scalable, and future-proof.

Responsibilities

• Manage operational HR administration across the complete employee lifecycle, from contract creation through exit processes
• Prepare employment contracts, amendments, certificates, references, and maintain digital personnel files
• Oversee onboarding and offboarding processes and coordinate all administrative HR workflows
• Ensure excellent master data quality and manage the HR platform (Personio experience preferred)
• Build, optimize, and standardize HR processes, policies, and documentation
• Analyze existing workflows, identify weaknesses, and implement sustainable improvements
• Independently execute data cleanup projects and quality initiatives within HR operations
• Create meaningful reports, HR metrics, and KPI dashboards to support management decisions
• Contribute to HR projects, digitalization initiatives, and implementation of new processes and AI-supported solutions
• Support audits, data protection, compliance, and labor law documentation requirements
• Administer vacation, working hours, sick leave, special leave, and conduct occupational reintegration management
• Support preparatory payroll processing and provide coverage for the payroll function during absences
• Collaborate with health insurance providers, authorities, tax advisors, and internal stakeholders

What We're Looking For

• Completed commercial training, HR certification, or degree in Human Resources, Business Administration, or comparable qualification
• Several years of professional experience in HR operations, personnel administration, or HR management
• Strong knowledge of operational HR management and proven experience across the entire employee lifecycle
• Solid understanding of preparatory payroll processing, wage tax, and social security law
• Experience with Personio or comparable HR systems
• Excellent process and organizational competence with enthusiasm for sustainably improving structures
• Analytical mindset with high affinity for numbers and data
• Independent, structured, and solution-oriented working style
• High quality standards, strong hands-on mentality, and attention to detail
• Excellent German language skills, both written and spoken
• Proactive approach: you don't wait to be told what needs improvement—you identify inefficiencies, critically question existing processes, and develop sustainable solutions
• Ability to create order in complex topics and ensure HR processes function reliably during company growth
• Understanding of error-free payroll importance with sufficient expertise to competently support and represent the payroll function when needed
