Five-Star AudioVisual seeks a detail-oriented Executive Assistant to support our leadership team and contribute to operational excellence in Naperville, Illinois. The Opportunity

As an Executive Assistant at Five-Star AudioVisual, you'll serve as a critical operational link between senior management, clients, and internal teams. You'll manage complex schedules, coordinate high-level communications, and ensure seamless execution of business initiatives across our hospitality and event technology services. This role offers exposure to a dynamic, client-focused business serving luxury hotels, resorts, and major event venues throughout the United States.

Key Responsibilities

• Manage executive calendars, scheduling meetings, travel arrangements, and event logistics with precision and foresight
• Prepare and coordinate materials for client presentations, executive meetings, and strategic planning sessions
• Handle executive correspondence, phone communication, and client liaison duties with professionalism and discretion
• Support event coordination efforts, including venue logistics and technology deployment timelines
• Maintain confidential records, databases, and administrative systems; ensure accuracy and compliance with company procedures
• Coordinate cross-functional projects and initiatives, tracking timelines and deliverables
• Perform general office management tasks including facility coordination and vendor communication

Qualifications

• 3+ years of executive assistant or similar administrative leadership experience
• Exceptional organizational and time-management skills with ability to prioritize competing demands
• Excellent written and verbal communication abilities; professional demeanor in client-facing interactions
• Proficiency with Microsoft Office, email management systems, and calendar/scheduling software
• Strong problem-solving capabilities and resourcefulness in fast-paced environments
• Ability to maintain confidentiality and exercise sound judgment with sensitive information
• Attention to detail and commitment to accuracy in all deliverables
