About This Opportunity
We are representing a confidential healthcare technology organization seeking an Employee Engagement Programs Lead to join their People & Culture team. Our client is a fast-growing, remote-first company of approximately 320 employees distributed across the United States. This role sits at the heart of how the organization comes together—owning the logistics and execution of company-wide events, department gatherings, and employee experience programming that make in-person collaboration meaningful.
As the Engagement Programs Lead, you'll own end-to-end event management for their annual company offsite, support department leaders planning their own gatherings, and build the scalable toolkit ("Offsite-in-a-Box") that empowers teams to create great experiences without starting from scratch. You'll also keep day-to-day People & Culture programs running smoothly, from recognition fulfillment to program coordination and Inclusion & Belonging Council support.
Responsibilities
Company Events and Offsites
- Own end-to-end logistics for the annual company offsite (300+ attendees), including venue and vendor sourcing, contracts, travel and rooming, run-of-show, on-site execution, and post-event reconciliation
- Support department leads planning their own offsites with sourcing, budget guidance, and logistical consultation
- Track spend in real time against event budgets and reconcile cleanly with Finance after every event
- Route vendor agreements through Legal, ensuring W-9, certificate of insurance, and indemnification requirements are met before signature
- Own traveler safety, emergency protocols, and accessibility requirements for company-sponsored travel and events
Offsite-in-a-Box Toolkit
- Build and maintain the intake form, planning templates, vetted vendor agreements, and budget calculator that enable department leads to run their own gatherings independently
- Onboard planners into the process and collect post-event documentation from each gathering
- Refine the toolkit quarterly based on planner feedback
- Leverage AI tooling to automate coordination tasks: intake triage, vendor comparison, budget reconciliation, and post-event synthesis
Program Administration
- Run the budget approval workflow for gatherings within policy, escalating exceptions as needed
- Coordinate logistics, communications, and scheduling for company-wide People & Culture initiatives (engagement surveys, manager programs, recognition fulfillment)
- Own recognition and swag fulfillment end to end, including vendor management
- Build and refine processes that scale as the company grows
Inclusion & Belonging Council Support
- Partner with the Inclusion & Belonging Council to turn ideas into actionable events with real budgets and calendars
- Handle logistics, vendors, communications, and scheduling so Council members can focus on content and community
- Ensure programming reaches employees regardless of geographic location; track participation for hub versus non-hub employees
- Track participation and feedback, providing quarterly summaries to inform future programming
Measurement and Reporting
- Track attendance, utilization, cost per attendee, and post-event feedback across all programs
- Produce quarterly summaries that identify what's working and what needs adjustment
- Evaluate gatherings against movement in connectivity and belonging sub-scores from engagement surveys, not attendance alone
What We're Looking For
Required Qualifications
- 4–6 years in event program management, employee experience, or a related operations role
- Proven track record owning a multi-day offsite or large company event end to end for 300+ people, including full budget ownership
- Strong vendor management skills: sourcing, contract negotiation, and accountability
- Real budget ownership experience—tracking spend in real time and reconciling with Finance
- Excellent organizational skills with the ability to manage multiple workstreams and deadlines simultaneously
- Clear written and verbal communication; comfortable updating stakeholders at all levels
- Sound judgment with confidential People & Culture information
- AI fluency: Daily, active use of AI tools (Claude, ChatGPT, Notion AI) with demonstrated examples of using them to automate or eliminate work
- Proficiency in project management tools (Asana, Jira, Notion, Google Workspace)
- Proactive, startup-ready mindset with the ability to pivot quickly based on company needs
- Willingness to travel approximately 10-20% for on-site execution of offsites, regional gatherings, and venue sourcing
- Must be legally authorized to work in the United States for the duration of employment; this role is not eligible for visa sponsorship
Preferred Qualifications
- Experience supporting a remote-first or distributed workforce
- Experience supporting employee resource groups, culture councils, or other employee-led initiatives
- Familiarity with offsite planning platforms or vendor marketplaces
- Healthcare or health tech industry experience

Pay
Pay via Get A Job.ai: $85,000–$110,000 USD annually, based on experience and level. Our client also offers comprehensive medical, dental, and vision coverage; employer HSA contributions; 401(k); equity incentive plan; annual company-wide bonus opportunity (up to 15%); flexible vacation policy; summer Fridays; home office and wellness stipend; monthly internet stipend; and annual learning and development stipend.
