Hartford Healthcare is hiring a Clinical Secretary for our Adult Behavioral Health department in Vernon, Tolland County, Connecticut. As a full-time member of our clinical operations team, you'll support our behavioral health providers and ensure the administrative foundation that allows patient care to thrive.

Role Overview

The Clinical Secretary is essential to our Adult Behavioral Health program's success. You'll work directly with psychiatrists, therapists, and clinical care coordinators at our Vernon location, managing patient scheduling, medical records, and office operations. This role bridges clinical needs and administrative efficiency, supporting both staff and the patients we serve.

Key Responsibilities

  • Schedule appointments for psychiatric and therapy sessions, managing provider calendars and patient flow
  • Maintain electronic health records (EHR) with accuracy and confidentiality, ensuring HIPAA compliance
  • Answer phones, direct calls, greet patients, and respond to inquiries with professionalism and care
  • Process referrals, verify insurance coverage, and coordinate prior authorizations for behavioral health services
  • Transcribe clinical notes, document treatment plans, and maintain accurate progress records
  • File and retrieve patient charts, manage records systems, and maintain office supplies and equipment
  • Support administrative tasks including correspondence, scheduling coordination, and data entry

What We're Looking For

  • High school diploma or GED
  • Previous clerical, secretarial, or administrative experience in healthcare (preferred)
  • Solid understanding of medical terminology and behavioral health concepts
  • Comfort using electronic health record systems and standard office software
  • Strong ability to organize multiple priorities and manage time effectively
  • Excellent verbal and written communication skills for patient and team interaction
  • Commitment to maintaining patient privacy and confidentiality
