Admissions Intake Coordinator Mental Health and Addiction Center

WonderWay ABA Services is seeking a full-time Admissions Intake Coordinator to join our mental health and addiction treatment center in King of Prussia, Montgomery County. In this role, you'll be the first point of contact for individuals seeking treatment, guiding them through intake and helping them take their first meaningful steps toward recovery.

About the Role

As an Admissions Intake Coordinator, you'll manage the intake process for clients entering our Partial Hospitalization (PHP), Intensive Outpatient (IOP), and Outpatient (OP) programs. You'll work directly with prospective patients and their families during a critical transition, ensuring they feel supported and informed every step of the way.

What You'll Do

• Conduct initial patient intake appointments and collect comprehensive medical, psychiatric, and substance use histories
• Complete screenings and assessments to determine appropriate level of care within our treatment programs
• Verify insurance coverage and eligibility; coordinate authorization and billing inquiries
• Schedule admissions and arrange orientation appointments with clinical staff
• Provide new patients with program information, policies, and educational materials
• Maintain accurate, confidential documentation in compliance with HIPAA and clinical standards
• Communicate with clinical teams to ensure seamless care coordination from intake through treatment
• Answer intake questions via phone and email; respond to referral inquiries professionally and promptly

What We're Looking For

• High school diploma or equivalent; some college, medical administration, or healthcare experience preferred
• Strong written and verbal communication skills with empathy and cultural sensitivity
• Proficiency with scheduling software, electronic health records (EHR), and Microsoft Office
• Ability to multitask and manage competing priorities in a fast-paced environment
• Attention to detail and commitment to accurate, HIPAA-compliant documentation
• Professional demeanor and ability to support individuals in crisis with composure
