Senior Workplace Experience Partner (x/f/m)

We are representing a confidential healthcare technology organization seeking a Senior Workplace Experience Partner in Berlin. This is a permanent, full-time position with an office-based working model.

Our client operates multiple office locations across Germany and is looking for an experienced professional to oversee workplace operations, ensuring their teams have exceptional work environments that support productivity and wellbeing.

Responsibilities

• Manage day-to-day operations and maintenance of the main Berlin headquarters while supporting approximately 9 regional offices across Germany
• Oversee external service providers and ensure compliance with all legal and regulatory requirements
• Develop and maintain strategic vendor relationships for critical services including reception, office amenities, fleet management, and travel management; monitor KPIs and SLAs
• Manage fleet services, including performance oversight and escalation management of external providers
• Own assigned budget areas, purchase order management, and invoice processing in collaboration with Finance teams
• Drive Health, Safety, and Environment (HSE) standards and implement QHSE processes across locations
• Collaborate closely with IT, Real Estate, Finance, and regional contacts; manage stakeholder communication across Germany and occasionally other markets
• Lead project management initiatives to develop pragmatic solutions for strategic and operational challenges; continuously optimize work environments through data-driven approaches

What We're Looking For

• Minimum 4-5 years of experience in comparable positions within Workplace Management, Facility Management, or Office Operations
• Proven experience managing office locations across multiple sites and delivering project management initiatives
• Foundational to advanced experience in HSE (Health, Safety, Environment)
• Experience in vendor management and contract management; fleet management experience is preferred
• Solution-oriented and detail-focused with ability to respond quickly to changing priorities
• Excellent communication skills in both German and English, with ability to articulate compelling vision both verbally and in writing
• Strong analytical capabilities and solid understanding of budget and cost management
