About This Opportunity
We are representing a confidential travel technology organization that is significantly expanding its event marketing function. Our client is investing heavily in in-person and experiential marketing, and they need a detail-oriented Senior Events Specialist who can manage high-volume execution while keeping business outcomes front and center.
This is a hands-on role for someone who thrives on logistics, cross-functional coordination, and the full event lifecycle—from planning through post-event reporting and pipeline follow-up. If you've managed multiple concurrent events in a fast-paced B2B environment and understand how events drive demand generation, we want to hear from you.
Responsibilities
- Own end-to-end event execution: business case, logistics, on-site support, teardown, and post-event reporting
- Coordinate all event logistics including booth setup, vendor management, A/V, materials, signage, swag, shipping, and food and beverage
- Build and maintain detailed project plans and timelines in Asana to manage multiple concurrent events without missing critical details
- Partner with Sales, Marketing Operations, Brand, and Growth teams to align event execution with business objectives
- Support CRM campaign setup, attendee list management, lead routing, data hygiene, and pre- and post-event workflows
- Ensure proper pre-event outreach and post-event follow-up so leads and opportunities are captured and acted upon
- Contribute to event measurement, ROI evaluation, and performance reporting
- Travel to priority events (approximately 30%) and provide hands-on support with setup, breakdown, and booth operations
- Manage a high-volume calendar that may include 5-7 events in a single week at various planning stages
What We're Looking For
Required:
- 3+ years in event marketing, event operations, or field coordination with ownership of detailed logistics
- A demand-generation mindset: you understand events as a marketing channel and can connect execution to lead follow-up, pipeline, and ROI
- Hands-on experience doing the work yourself—vendor coordination, booth setup/teardown, materials management—not just delegating to outside planners
- Proven ability to manage multiple events or complex projects simultaneously in deadline-driven environments; high-volume event experience strongly preferred
- Experience working in Salesforce or similar CRM, including event campaigns, lead/attendee lists, routing, and data hygiene
- Strong Asana proficiency with the ability to create scalable project plans and workflows
- Experience coordinating vendors, tracking budgets, and managing event materials, swag, print, and fulfillment
- Excellent organization, attention to detail, and ability to keep cross-functional partners aligned
- Comfort in fast-paced environments where priorities shift and event requests come together quickly
- Willingness to travel approximately 30% and work occasional evenings or weekends as needed
Nice to Have:
- B2B trade show, conference, sponsorship, or exhibitor experience
- Experience supporting sales-driven or growth events
- Familiarity with gifting or fulfillment platforms such as Sendoso or Reachdesk
- Swag and print-production coordination experience
- Travel industry experience
- Degree in Business, Marketing, Communications, or related field
