About This Opportunity

Our talent team at Get A Job.ai is representing a confidential nonprofit organization in the education sector. We are searching for a Programs Administrator to join their Student Success team in a fully remote capacity within the United States. This role offers the opportunity to support meaningful educational initiatives while working with students, families, and program participants throughout application, enrollment, and alumni phases.

Responsibilities

  • Support student application and enrollment workflows including application processing, document tracking, enrollment status reporting, and follow-up on outstanding materials
  • Respond to inquiries from applicants and parents via email, phone, and messaging platforms throughout the application, enrollment, and program delivery phases
  • Maintain organized databases and records tracking enrollment progress, post-program evaluations, photos, and completion documents
  • Process program surveys and reports, generate completion certificates, and administer recommendation letter fulfillment for alumni
  • Assist with mentor-mentee coordination, records management, and related communications
  • Create and implement process documentation and workflow improvements to enhance team efficiency
  • Travel approximately 10-12 days annually for in-person staff meetings (3-4 occasions per year)

What We're Looking For

  • Two-year degree in any field required
  • Two years of experience in program administration, project coordination, or office management, or equivalent combination of education and experience
  • Exceptional organizational skills with meticulous attention to detail when managing high volumes of database records and documents
  • Proficiency in Microsoft Office Suite (particularly Excel and Word, including mail merge functionality) and project management platforms such as Asana; demonstrated ability to learn new software quickly
  • Strong interpersonal and communication abilities across phone, video, messaging, and email channels; capable of delivering clear instructions to students, parents, and partner organizations with professionalism and warmth
  • Self-directed and effective in remote work environments with proven time management, task prioritization, and deadline adherence
  • Systems-oriented problem solver with a proactive approach to process improvement
  • Discretion and tact in handling confidential information
  • Flexibility to adapt to seasonal workflow variations and shifting priorities
  • Authorization to work in the United States and ability to pass a background clearance
  • Willingness to use organization-provided laptop equipment

Pay
