About This Opportunity
We are representing a confidential fintech organization experiencing 2-3x annual growth. Their platform serves financial institutions nationwide, and they've reached an inflection point: the informal coordination systems that supported early-stage growth won't scale to what's next.
As their first Business Operations hire, you'll build the operational infrastructure the company runs on. There's no playbook and no predecessor. You'll own the systems, processes, and rhythms that give leadership visibility into capacity, delivery risk, and project health—work currently handled by founders who need to focus on product and strategy.
Responsibilities
You'll build and own the company operating system—lightweight systems that provide weekly visibility into team allocation, capacity, and delivery risk across product and implementations. When new clients arrive, you'll assess current workload, identify available capacity, and present staffing options. You'll surface stalled projects, overloaded teams, and unresolved client concerns before they escalate.
You'll manage two technical account managers, holding regular 1:1s, tracking goals, providing feedback, and developing their capabilities. You own their workload and professional growth while executive leadership retains strategic client relationships.
You'll coordinate staffing and project handoffs. When projects need reassignment, team members go out of office, or client issues require routing, you ensure smooth transitions. You maintain the map of responsibilities and ensure every client concern has an owner, a plan, and next steps. If projects stall or lack ownership, you flag them proactively.
You'll establish operational rhythm: syncs have agendas, cycle kickoffs happen on schedule, and meeting commitments get tracked and completed. You'll collaborate with People Operations on vendor management, software contracts, and team events.
What you won't own: You won't recover client projects yourself—team leads handle their accounts. You won't own client strategy or executive relationships. You won't make product decisions. Beyond the two TAMs, you're not managing individual contributors—team leads manage their reports.
What We're Looking For
- 4-6 years spanning delivery leadership and business operations, including a leadership role at a B2B software company or leading a smaller team within a larger tech organization
- Direct experience running complex enterprise implementations or owning technical accounts recently enough that your teams will trust your judgment in client-facing situations
- Strong writing and communication skills—you'll create operational documentation, staffing plans, and status rhythms from scratch, and they must be clear and concise
- Relentlessly organized without being bureaucratic—you add just enough structure to prevent gaps while avoiding process for its own sake
- Direct and unintimidated—comfortable telling a lead their team is overloaded or telling executives when commitments exceed capacity
Nice to have: Experience in fintech or selling to financial institutions; familiarity with tools like Linear, Notion, Pylon, or Mixpanel; experience supporting technical teams in engineering, design, or implementations.
Success indicators: Within a month, you've taken over coordination questions from leadership. At three months, there's a weekly capacity and risk snapshot that leadership relies on, with clear ownership for every implementation. At six months, new client staffing conversations take fifteen minutes, and client concerns have clear owners.
