Role Overview

This is the most critical operational hire for our business. You will manage existing retail relationships with department stores, off-price chains, and gift retailers; open new accounts; brief product development with our design team; source and negotiate with suppliers; process purchase orders; manage logistics and invoicing; and run revenue forecasts. You'll be equally comfortable negotiating with a buyer, confirming a supplier quote, and catching a tax code error on an invoice. Every detail matters—a single wrong SKU or missed deadline cascades into invoice bounces and shipment delays. This role requires UK business hours availability and daily use of AI tools including Claude to accelerate outreach, data processing, and administrative tasks while maintaining rigorous accuracy.

Key Responsibilities

  • Prospecting: Reach out consistently to new wholesale buyers, build a structured prospect pipeline, and target opening at least two significant new retail accounts per year across priority regions
  • Account Management: Own relationships with established retailers, adapt range presentations to each buyer's seasonal calendar and pricing architecture, and manage multi-country, multi-banner order requirements
  • Product Development: Brief the design team with buyer requests, approve mock-ups and production templates, and drive seasonal design pipelines to buyer review deadlines
  • Supplier Management: Source quotes from factories in China and the UK, negotiate pricing by quantity and finish, and identify new suppliers against ethical certification standards including BSCI, SMETA, or WRAP
  • Unit Economics: Calculate true landed cost and margin for every order, validate supplier quotes against margin models, and present financial recommendations to leadership
  • Order Processing: Review purchase orders for SKU, price, currency, quantity, and delivery accuracy; complete sales orders in the system; and reconcile purchase orders with invoicing
  • Logistics and Compliance: Book freight to KPI deadlines, manage export documentation, and ensure adherence to each retailer's packing, labelling, and specification requirements
  • Invoicing: Run end-to-end invoicing, handle account-specific tax treatment and currency conversion, submit via retailer portals with required documentation, and reconcile month-end to ensure correct accounting period placement
  • Forecasting: Project revenue by account and product against annual goals, maintain live forecast versus actual views, and flag gaps and opportunities early
  • AI Integration: Use Claude and other AI tools daily for personalised buyer outreach at scale, purchase order data extraction, import-ready file generation, and competitive research, always verifying accuracy before use

What You Bring

  • Very strong, high-bandwidth internet connection essential for video calls, large file transfers, and simultaneous live portal access

  • Advanced Excel and Google Sheets proficiency including margin models, forecasting, trackers, and formulas
  • Strong commercial numeracy with the ability to calculate unit economics, true landed cost, and margin and present numbers clearly
  • Exceptional attention to detail—SKU codes, prices, currencies, tax codes, dates, and deadlines must be perfect every time
  • Fluent written English and confident communication with retail buyers, suppliers, and internal team members
  • Highly organised and deadline-driven with the ability to manage dozens of purchase orders, portals, and moving parts simultaneously
  • Self-directed mindset to own the wholesale function end-to-end with minimal oversight
  • Genuine enthusiasm for incorporating AI tools including Claude into daily work
