Capacity Grant Administrator

Washington State University seeks a Capacity Grant Administrator to join our administration team in Pullman, Washington. In this full-time role, you'll manage capacity-building grants that strengthen our institution's research and program capabilities, serving as a key connector between faculty, departments, and external funders.

Role Overview

As a Capacity Grant Administrator at WSU, you'll oversee the complete grant lifecycle for capacity-focused funding initiatives. Your work directly supports Washington State University's mission to conduct meaningful research and develop programs that address regional and global needs. Based in our Pullman headquarters, you'll coordinate with faculty, department heads, and administration to ensure grants are managed with precision, integrity, and full regulatory compliance.

Your Responsibilities

• Administer capacity grant awards from initial setup through final closeout, including budget management and milestone tracking
• Monitor compliance with federal, state, and funder requirements, maintaining detailed documentation of all grant activities
• Prepare financial reports, grant reports, and compliance submissions on schedule and to specification
• Serve as the liaison between grant recipients, university departments, and funding organizations to address questions and resolve issues
• Manage grant records, tracking systems, and databases to provide accurate, accessible information
• Identify opportunities to streamline processes and improve departmental operational efficiency

Who We're Looking For

• Bachelor's degree or equivalent professional grant administration experience
• Proven background managing federal or foundation grants in a higher education, research, or nonprofit setting
• Exceptional organizational ability, attention to detail, and skill managing competing priorities
• Competence with grant management software, databases, and standard office applications
• Strong communication skills, both written and verbal, with ability to work collaboratively across departments and with external partners
