About This Opportunity
We are representing a confidential global events agency seeking an experienced Congress Program Manager to join their team in Spain on a virtual basis. Our client operates across 60+ countries and specializes in delivering high-quality meetings and congress experiences for clients in the life sciences sector.
This role offers the opportunity to lead end-to-end planning and execution of congresses and meetings while managing relationships with clients, suppliers, and internal teams. You'll oversee multiple programs simultaneously in a fast-paced, compliance-focused environment.
Responsibilities
- Lead recurring planning calls with internal teams and stakeholders for assigned congress programs
- Oversee housing contracts, exhibitor registrations, and attendee logistics in alignment with congress regulations
- Coordinate site inspections, planning meetings, pre-conferences, and all congress-related meetings
- Partner with logistics teams on hotel arrangements, ground transportation, and onsite operational support
- Reconcile meetings according to client audit standards and maintain audit-ready documentation
- Ensure compliance requirements are met, documented, and maintained throughout program lifecycle
- Manage program budgets, financial tracking, and final reconciliation
- Oversee creation and distribution of registration forms and attendee communications
- Maintain accurate congress data, budgets, and reporting in platforms such as Cvent and client-specific systems
- Serve as primary client contact for all congress logistics and planning milestones
- Collaborate with sourcing partners to evaluate hotel options and provide strategic recommendations
- Support supplier negotiations to secure favorable pricing and concessions
- Manage 5–10 programs simultaneously, ensuring all deliverables are completed on time
- Coordinate onsite staffing needs including Trip Directors and support personnel
- Provide subject-matter expertise in congress processes, especially housing and registration
What We're Looking For
Required qualifications:
- Bachelor's degree in business or related field, or equivalent education and experience
- Minimum 3 years of experience in congress or meeting planning
- Proven success managing small- and large-scale congress and meeting programs
- Experience supporting clients in the life sciences industry
- Strong ability to manage time, prioritize work, meet tight deadlines, and perform well under pressure
- Proficiency in Microsoft Word, Excel, PowerPoint, and Cvent
- Strong organizational and project management skills
- Excellent verbal and written communication skills
- Fluency in English (spoken and written)
- Ability to travel up to 25% (valid passport required)
Preferred qualifications:
- 1+ years of experience working with medical societies in a congress environment
