The VA Group, LLC is hiring a HubSpot CRM Specialist to redesign and streamline our CRM foundation, shifting lead tracking to the Company level and bringing order to how our team manages prospects. This is a remote role open to applicants based outside the United States.
About the Role
As our HubSpot CRM Specialist, you'll do more than flip technical switches — you'll think strategically about CRM architecture, object relationships, property setup, and pipeline design. The core goal is to retire HubSpot's default Leads tool, end duplicate tracking, and consolidate every stage of lead progression at the Company Object level so internal workflows stay clear and consistent. (Final tools and tasks are confirmed during the last interview.)
Key Responsibilities
- Audit the existing HubSpot configuration and confirm whether the Leads object is in active use.
- Safely disable or decommission default Lead Pipeline tracking where it exists.
- Centralize all lead-stage tracking on the Company record, removing duplicate systems.
- Build and configure required Company properties — including Lead Stage (dropdown), Primary Real Estate Profile, and Representation Type — visible to every user.
- Set up a Company-level Lead Stage dropdown with starter options such as "No Live Contact Made" and "Contact Attempted," allowing room for future stages.
- Enforce required-field validation so essential data can't be skipped, and standardize field visibility across all user records.
- Document the new workflow clearly to prevent confusion.
Qualifications
- 3+ years of hands-on HubSpot CRM experience.
- Solid command of objects (Contacts, Companies, Deals, Leads), custom properties, pipelines, required fields, validation rules, and automation workflows.
- Proven track record restructuring CRM architecture and eliminating duplicate data.
- Experience documenting CRM systems, plus strong communication skills.
- Bonus: HubSpot Certification (CRM or Marketing Hub), real estate or brokerage exposure, and prior company-level lead-tracking projects.
