About the Opportunity

We are representing a confidential Voice AI technology company seeking an Executive Assistant, Marketing to support their Chief Marketing Officer. This is a high-impact role where you'll serve as the right hand to marketing leadership, protecting executive leverage and building systems that keep a fast-moving team operating at peak efficiency.

In this role, you'll own the CMO's calendar and time optimization, run the marketing leadership operating rhythm (staff meetings, QBRs, offsites, planning cycles), and coordinate cross-functionally with RevOps, Communications, and People teams. You'll be expected to design Human+AI workflows that eliminate recurring administrative friction, spot operational bottlenecks, and ship practical fixes rather than absorbing the same problems each week.

This position requires an AI-first mindset. You'll be expected to actively use and experiment with advanced AI tools in your everyday work, applying them to scheduling, inbox triage, meeting prep, and drafting. Change happens rapidly in this environment, and your day-to-day responsibilities will evolve accordingly. This role is ideal for someone who thrives on experimentation, adapts quickly, and prefers impact over prescription.

Responsibilities

  • Protect and optimize the CMO's calendar, partnering to set and re-sequence priorities so executive time lands on strategic work rather than reactive tasks
  • Run the marketing leadership operating cadence including staff meetings, quarterly business reviews, offsites, and planning cycles
  • Coordinate with adjacent teams (RevOps, Communications, People) to ensure cross-functional work progresses without executive oversight
  • Build Human+AI workflows for scheduling, inbox management, and meeting preparation that significantly reduce administrative turnaround time
  • Identify recurring operational friction and implement 1-2 process improvements per quarter—templates, cadences, automations—to eliminate repetitive problems
  • Manage complex travel and logistics across time zones with zero missed connections
  • Process expenses same-day and maintain meticulous records
  • Handle confidential and sensitive matters with total discretion and sound judgment

What We're Looking For

Required:

  • AI-native operator who designs Human+AI workflows for scheduling, drafting, and meeting prep rather than executing every task manually
  • Ability to build lightweight systems that eliminate recurring administrative work instead of re-solving the same problems weekly
  • Skill in identifying operational problems and proposing practical solutions
  • Experience coordinating across teams and programs, not just managing a single leader's calendar
  • Sound judgment and discretion with confidential and sensitive information
  • Ability to juggle competing priorities across time zones and calendars without dropping details
  • Clear, professional communication with senior stakeholders, both internal and external
  • Proactive problem-solving—you anticipate needs and resolve issues before they escalate

Preferred:

  • Approximately 1-3 years supporting leaders or coordinating across teams, or equivalent demonstrated experience
  • Prior experience supporting a senior leader or executive in a fast-moving startup or high-growth tech environment
  • Hands-on experience with modern AI tools for drafting, summarizing, and automating repetitive work
  • Familiarity with common executive support platforms for calendar, travel, expense management, and communications

Location: USA (remote considered based on time zone alignment with marketing leadership)
