Shared Services Officer

About This Opportunity

Our talent team is representing a confidential logistics organization with operations across Australia. We are seeking a Shared Services Officer to provide critical administrative support across finance, operations, payroll, and compliance functions. This is a permanent work-from-home role operating during Australian Eastern Standard Time business hours.

Responsibilities

In this role, you will support multiple business functions including:

• Process supplier invoices with accurate general ledger coding and verify documentation against supporting records
• Assist with accounts receivable tasks, recurring billing workflows, and credit request preparation
• Prepare monthly operational and financial reporting packages while maintaining customer and supplier databases
• Complete operational data entry using transportation management systems and process periodic billing tasks
• Maintain operational registers, vehicle records, and customer documentation
• Support stocktake administration, pallet reconciliations, and document control processes
• Process employee timesheets and assist with payroll data preparation
• Maintain workforce records and collate labour reporting while escalating discrepancies
• Upload workplace health and safety records, inspections, and meeting minutes into compliance systems
• Maintain compliance registers for contractor management, training schedules, and licensing requirements
• Monitor equipment registration records and assist with audit preparation activities
• Respond to internal queries within agreed service level timeframes

What We're Looking For

Required qualifications:

• Demonstrated experience in administration, shared services, or transactional financial support roles
• Strong working knowledge of Microsoft Office programs, particularly Excel
• High attention to detail with proven accuracy in data entry and verification
• Excellent written and verbal communication skills in Australian English
• Strong organization and time management abilities with capacity to meet strict deadlines
• Ability to follow structured work instructions, procedures, and workflows

Preferred experience:

• Background in supply chain, transport, or logistics environments
• Experience with industry systems such as transportation management platforms, safety management systems, or document management tools
• Previous accounts payable, invoicing, or payroll support experience
• Track record working in fast-paced, KPI and SLA-driven environments

Employment Details
