(Senior) Payroll & HR Operations Manager (m/w/d)

Our talent team is representing a confidential e-commerce organization experiencing significant growth in the Hamburg market. With a team exceeding 150 employees across multiple locations, this company is professionalizing its HR function and needs an experienced operations leader to build scalable processes and maintain payroll excellence.

We're seeking a Senior Payroll & HR Operations Manager who thrives on creating structure, optimizing processes, and bringing order to complex HR workflows. You'll work closely with the Head of HR and external advisors to establish a modern, efficient HR operations landscape that supports continued organizational scaling.

Responsibilities

• Own operational HR administration across the complete employee lifecycle, from contract creation through offboarding
• Prepare employment contracts, amendments, certificates, references, and maintain digital personnel files
• Design and execute onboarding and offboarding processes with full administrative coordination
• Ensure excellent master data quality and serve as system owner for the HR platform (Personio experience preferred)
• Build, optimize, and standardize HR processes, policies, and documentation from the ground up
• Analyze existing workflows, identify weaknesses, and implement sustainable improvements
• Lead data cleanup initiatives and quality improvement projects within the HR organization
• Create meaningful reports, HR metrics, and KPI dashboards to inform management decisions
• Support HR projects, digitalization initiatives, and implementation of automation and AI-enabled solutions
• Manage audits, data protection compliance, and employment law documentation requirements
• Administer vacation, working time, sick leave, electronic sick note processes, and occupational reintegration management
• Support preparatory payroll processes and provide backup coverage for the payroll function during absences
• Coordinate with health insurance providers, authorities, tax advisors, and internal stakeholders

What We're Looking For

• Completed commercial apprenticeship, HR certification, or degree in human resources, business administration, or comparable qualification
• Several years of professional experience in HR operations, personnel administration, or HR management
• Strong knowledge of operational HR management with proven experience across the employee lifecycle
• Solid understanding of preparatory payroll, wage tax law, and social insurance regulations
• Experience with Personio or comparable HR information systems
• Exceptional process and organizational competence with genuine enthusiasm for creating sustainable structures
• Analytical mindset with high affinity for numbers and data accuracy
• Independent, structured, and solution-oriented working style
• High quality standards, hands-on mentality, and strong attention to detail
• Excellent German language skills, both written and spoken
• Proactive approach: you don't wait to be told what needs improvement—you identify inefficiencies, critically question existing processes, and develop sustainable solutions
• Ability to bring order to complex topics and ensure HR processes function reliably during organizational growth
• Understanding of error-free payroll importance with sufficient expertise to competently support and represent the payroll function when needed
