About This Opportunity
We are representing a confidential education organization in Berlin that is seeking a (Senior) Program Operations Manager to join their growing team. This is a central operational role where you'll ensure training programs run smoothly from start to finish, coordinate multiple locations, and continuously optimize processes across the organization.
In this position, you'll take end-to-end responsibility for course operations, manage relationships with internal teams and external partners, and drive process improvements that make operations more efficient and scalable. You'll be close to day-to-day operations while also shaping the structures and systems that support growth.
Responsibilities
- Own end-to-end course operations from day one through completion, ensuring all operational deadlines are met across stakeholder groups
- Serve as a bridge between departments and participants, finding rapid solutions to short-term challenges
- Manage multiple training locations (Berlin, Hamburg, Bielefeld, Munich), ensuring smooth operations and strategic development
- Coordinate with on-site contacts to maintain consistent quality across all locations
- Analyze existing processes regularly to identify opportunities for optimization, automation, and streamlining
- Ensure current workflows are documented in a user-oriented manner
- Lead multi-stakeholder projects from identification through final implementation
- Manage external partners including co-working spaces, publishers, and certification bodies
- Negotiate contracts and ensure external stakeholders contribute effectively to program success
What We're Looking For
- Successfully completed degree or professional training in business, social sciences, or natural sciences
- Several years of practical experience in dynamic start-up or scale-up environments, ideally with multi-stakeholder projects and operations focus
- Strong problem-solving skills with ability to understand different perspectives and proactively develop independent solutions
- Hands-on mentality with enthusiasm for tackling spontaneous tasks and taking on new responsibilities in a small team environment
- Proven stakeholder and project management capabilities, able to structure complex projects and ensure deadlines are met
- Ability to prioritize independently and juggle multiple priorities while maintaining overview
- Excellent communication skills to explain problems clearly and enable stakeholders to implement solutions
- Agile working style with comfort operating at different levels and adapting quickly to changing circumstances
- Tech-savvy with ability to quickly learn new tools and interest in leveraging AI to improve workflows
- Fluent in German written and spoken (minimum C1 level)

Position Details
Employment Type: Full-time, permanent contract
Location: Berlin (hybrid: 3 days per week in office at Alexanderplatz including 2 fixed team days + 1 flexible day)
Hours: 40 hours per week, Monday to Friday
