Key Responsibilities

- Keep patient records current, ensuring each medication purchase is logged properly.
- Send order confirmations, next-step instructions, and reminders to customers using OpenPhone, approved clinic scripts, and ChatGPT-trained templates.
- Answer customer questions by text with pre-approved wording, and follow up proactively on incomplete appointment steps.
- Handle assorted administrative and documentation tasks by referencing clinic SOPs rather than waiting for direction.
- Coordinate internally through Slack and navigate Google Workspace tools, including Gmail and Google Docs.
- Use the clinic's AI-based policy manual and ChatGPT-based tools to standardize responses and protect a consistent brand voice.
Qualifications
- Hands-on experience with invoicing.
- Comfort with EMR systems or similar CRM-style platforms; healthcare EMR exposure is a plus but not mandatory.
- Strong written communication skills suited to text-based customer support.
- Excellent accuracy when logging records and invoices.
- A proactive, critical-thinking mindset and the ability to learn and apply processes on your own.
- Capable of following SOPs and reference materials such as manuals, guides, and AI tools.
