About This Opportunity

We are representing a growing technology business with operations across Europe. Our client is building strong people foundations during an exciting transformation period, and they need an HR Administrator to be their trusted presence in Germany.

This is a hands-on, varied role covering two connected areas: supporting the full employee lifecycle for EU-based staff (onboarding, contracts, payroll inputs, day-to-day queries, offboarding) and managing day-to-day office administration for the Berlin location. You'll work closely with and report to an HR Manager based in the UK, while serving as the face of People and HR on the ground in Germany.

You'll be a proactive, organized self-starter who enjoys being the go-to person for HR matters, comfortable working independently and building trusted relationships with employees at every level.

Responsibilities

HR Administration & Employee Lifecycle (Germany)

  • Act as first point of contact for Germany-based employees on HR queries, policies and procedures
  • Support end-to-end employee lifecycle including onboarding, contract changes, promotions, transfers and offboarding
  • Prepare and issue employment contracts, amendments and documentation in line with German legal requirements
  • Maintain accurate employee records and personnel files ensuring GDPR compliance
  • Coordinate onboarding for new starters including right-to-work checks, equipment setup and welcome activities
  • Support recruitment for Germany-based roles including interview scheduling and candidate liaison
  • Prepare and submit monthly payroll inputs working with the HR Manager and service centre
  • Administer benefits including pension, health insurance and statutory benefits
  • Help ensure compliance with German and EU labour law, flagging risks appropriately
  • Support performance review cycles and local training administration
  • Provide administrative support on HR projects, audits and reporting

Office Administration (Germany)

  • Serve as main contact for day-to-day office administration
  • Manage office supplies, equipment and vendor relationships
  • Support health and safety compliance including risk assessments and fire safety
  • Organize office events, socials and wellbeing initiatives for the team
  • Manage post, deliveries and visitor arrangements
  • Support new starters with desk setup, access passes and office induction
  • Liaise with building management on facilities issues

What We're Looking For

Essential:

  • Experience in HR administration, HR coordinator, or office administration (internships and placements considered)
  • Working knowledge of German employment law and HR practices
  • Fluent in German and English, both written and spoken
  • Strong organizational skills with ability to manage multiple priorities and deadlines
  • Excellent attention to detail and accuracy with employee data and documentation
  • Proactive, can-do attitude, comfortable working independently as the on-ground HR presence
  • Strong interpersonal and communication skills with ability to build trust across all levels
  • Ability to handle confidential information with discretion
  • Comfortable using HRIS, payroll or office management systems

Preferred:

  • Studying towards or holding relevant HR qualification (e.g. IHK Personalfachkaufmann/-frau or equivalent)
  • Experience supporting international or matrixed organizations
  • Experience with office management or facilities coordination
