V104 – Intake and Scheduling Specialist

About This Opportunity

We are representing a confidential professional services organization seeking a Bilingual Intake and Scheduling Specialist to join their growing operations team. This remote position serves as the critical first touchpoint for prospective clients, combining customer service excellence with precise data management and appointment coordination.

In this role, you'll handle approximately 30 incoming calls daily, gathering essential information, qualifying leads according to established criteria, and ensuring seamless handoffs to the sales team. Your ability to communicate clearly in both English and Spanish will be essential to building trust and providing exceptional service during every interaction.

Responsibilities

• Serve as first point of contact for prospective clients via phone
• Qualify leads based on internal criteria and route to appropriate departments
• Gather and accurately enter all relevant lead information into the CRM system
• Manage approximately 30 incoming calls per day with professionalism and empathy
• Follow up with potential leads from previous day to maintain pipeline momentum
• Add all contacts to CRM ensuring complete and accurate records
• Schedule and coordinate appointments for the sales team
• Transfer qualified leads efficiently to ensure timely follow-up

What We're Looking For

• Bilingual fluency in English and Spanish (written and verbal)
• Knowledge of legal terminology and professional services environment
• Strong organizational skills with exceptional attention to detail

• Experience with CRM systems and data entry

Work Schedule: 9:00 AM - 6:00 PM EST/EDT, Monday through Friday
