Position Summary
As Sr. Administrative Coordinator, you'll be the operational backbone of our Anesthesiology & Critical Care Medicine department. Reporting to department leadership, you'll oversee day-to-day office functions, manage financial systems and budgets, and shepherd initiatives from concept through completion. You'll work with faculty, staff, and external partners to maintain organizational efficiency and support the department's clinical and educational mission.
What You'll Do
- Manage office operations, scheduling, correspondence, and records for the department
- Prepare and monitor departmental budgets, conduct fiscal reconciliations, and track expenditures
- Coordinate special projects and programs under direction of the department chair and senior faculty
- Process payroll, human resources paperwork, and employee records
- Maintain confidential information and handle sensitive communications with discretion
- Support grant administration, regulatory compliance, and reporting requirements
- Liaise with university offices (finance, HR, facilities) on departmental needs
Qualifications
- 3+ years of progressive administrative experience in a professional or healthcare setting
- Demonstrated competency in budget management, financial spreadsheets, and accounting software
- Strong organizational skills with ability to manage multiple priorities simultaneously
- Proficiency in Microsoft Office (Word, Excel, Outlook) and database systems
- Excellent written and verbal communication skills
- High discretion when managing confidential departmental and personnel matters
- Bachelor's degree preferred; high school diploma/GED with equivalent experience considered
