AEC Proposal Coordinator

Bodwé Group is seeking a detail-driven AEC Proposal Coordinator to lead the full lifecycle of winning federal and commercial proposals across the United States. About the Role

As an AEC Proposal Coordinator at Bodwé Group, you will own the proposal process from kickoff through final submission. Partnering with capture and technical leaders, you will shape persuasive narratives, safeguard compliance, and ensure every response reflects Bodwé's brand and each client's standards. This United States-based position blends project management, writing, and design coordination to help our architecture, engineering, and construction teams secure new work.

Key Responsibilities

• Manage the complete proposal lifecycle, including schedules, team assignments, deliverables, and deadlines, to produce fully compliant responses.
• Dissect solicitation documents to capture requirements, evaluation criteria, forms, and certifications, then build compliance matrices that confirm every instruction is addressed.
• Collaborate with the Capture Director, Market Leaders, and leadership to develop win themes, differentiators, and value propositions aligned to client needs and scoring.
• Write and refine non-technical sections such as cover letters, firm overviews, and project sheets, and tailor resumes, project descriptions, and organizational charts.
• Coordinate or create graphics, infographics, and tables, and prepare print-ready and digital production files that meet branding specifications.
• Facilitate kickoff meetings and color reviews, run final quality and compliance checks, and oversee printing, packaging, and electronic submissions.
• Communicate with partners, subconsultants, and clients to gather inputs, track addenda, and clarify responsibilities, while supporting early capture planning and interview preparation.

Qualifications

• Bachelor's degree or higher in business, English, journalism, communications, or a related discipline.
• Three years of federal proposal experience and three years of proposal coordination experience within the AEC industry.
• Proficiency with Adobe Creative Suite (particularly InDesign), OpenAsset, CRM platforms, and the Microsoft Office suite, including Word, Excel, Outlook, SharePoint, and Teams.
• Outstanding written and verbal communication, exceptional organization, and meticulous attention to detail.
• Proven ability to juggle multiple priorities under compressed deadlines while delivering quality work on time, working independently and taking initiative.
