Facilities & Administration Manager ( Immediate Joiners only )

Observe.AI is hiring a Facilities & Administration Manager in Bengaluru — an immediate-joiner, individual-contributor role for an operator who loves keeping a fast-moving workplace running flawlessly behind the scenes.

About the Role

This full-time, on-site position in Bengaluru puts you in charge of the everyday rhythm of our office and administrative functions. As Facilities & Administration Manager, you'll independently steer facilities, vendor relationships, and travel operations, taking full ownership of a productive, well-run workplace experience in a high-growth SaaS setting.

Key Responsibilities

• Run the office day to day, acting as the main liaison with our managed workspace partner (such as Indiqube) for infrastructure and support.
• Supervise housekeeping, security, maintenance, pantry, and supplies while upholding safety standards, workplace policies, and statutory compliance.
• Administer office assets, inventory, and access-control systems.
• Source and coordinate vendors for repairs, procurement, and services, negotiating contracts to drive cost efficiency.
• Support seating plans, workspace planning, and office expansions.
• Handle domestic and international travel — flights, hotels, ground transport, and full executive itineraries — and negotiate corporate hotel rates.
• Manage guest, leadership, and hospitality arrangements end to end.
• Collaborate with leadership on facilities budgeting, forecasting, and expense tracking.
• Ensure smooth onboarding logistics, including workspace setup, access cards, and overall office readiness.

Qualifications

• 8+ years in Facilities, Administration, or Workplace Management, ideally within a startup or SaaS company.
• Hands-on experience with managed office providers like Indiqube, WeWork, or similar.
• Strong vendor management, negotiation, and travel-coordination skills.
• Highly organized, detail-oriented, and execution-focused.
• Comfortable operating independently in a fast-growing, dynamic environment.
