Operations Analyst

About the Role

As an Operations Analyst at Caylent, you'll be the operational backbone of our Service Delivery operations, orchestrating workflows from initial engagement planning through project completion. This full-time position offers an opportunity to grow in a data-driven environment where your analytical mindset and organizational expertise directly impact how effectively we serve clients and support our teams. You'll report to department heads and Practice Directors, collaborating across the organization to ensure seamless project delivery and resource optimization.

Responsibilities

• Develop and implement operational improvements that strengthen resource allocation, staffing coordination, and cross-functional collaboration
• Build comprehensive staffing reports tracking utilization, availability, productivity metrics, pipeline analysis, and hiring recommendations
• Coordinate resource planning initiatives with leadership, recommending staffing strategies and supporting tooling decisions
• Manage full-cycle project administration: Sales-to-Delivery coordination, Certinia PSA setup, project closeout procedures, timecard management, and engagement data maintenance
• Enforce delivery process compliance, monitoring time-tracking accuracy and standards adherence; communicate insights to leadership
• Extract and analyze operational data for forecasting, performance metrics, and trend identification to inform strategic decisions
• Own weekly and monthly reporting on capacity, staffing levels, and forecasting, flagging risks and operational trends proactively

Qualifications

• Bachelor's degree in Business Administration, Human Resources, or related discipline
• Minimum 3–5 years working in business operations, resource management, staffing coordination, or equivalent roles
• Proficiency with Certinia PSA and Salesforce for staffing requests, pipeline forecasting, timecard workflows, and reporting
• Demonstrated analytical capability in utilization metrics, capacity planning, forecasting models, and trend-based action
• Strong organizational discipline and attention to data accuracy and compliance
• Advanced communication skills for engaging cross-functional teams and presenting findings to leadership
• Hands-on experience with Power BI or similar business intelligence platforms; openness to adopting new analytics tools
