Legal Administrative Assistant Intellectual Property IP

Snell & Wilmer Staff is seeking a detail-oriented Legal Administrative Assistant to provide comprehensive support to our intellectual property practice in Costa Mesa, Orange County. In this full-time position, you will be the backbone of our IP legal team, managing the administrative operations that keep our attorneys and clients moving forward.

About the Role

As a Legal Administrative Assistant in our intellectual property department, you will work closely with IP attorneys to deliver the administrative excellence our clients expect. Your work will span client management, document preparation, scheduling, and office operations that directly impact client service and attorney productivity.

What You'll Do

• Provide administrative support to intellectual property attorneys, including calendar management, meeting coordination, and client communication
• Prepare, organize, and maintain legal documents, filings, and correspondence related to trademarks, patents, copyrights, and other IP matters
• Assist with deadline tracking, docket management, and compliance with IP office requirements and deadlines
• Answer phones, greet clients, and direct inquiries with professionalism and knowledge of IP practice
• Manage scheduling for consultations, meetings, and depositions
• Support billing, timekeeping, and administrative procedures
• Maintain confidentiality and follow legal and ethical standards in all work

What We're Looking For

• Proven experience as a legal administrative assistant or legal secretary in an IP practice (preferred) or corporate law environment
• Strong organizational skills and attention to detail, especially with legal documents and deadlines
• Proficiency with Microsoft Office, legal document management systems, and office software
• Excellent written and verbal communication skills
• Ability to prioritize multiple tasks and meet strict deadlines in a fast-paced environment
• Professional demeanor and ability to interact effectively with attorneys, clients, and colleagues
• Knowledge of intellectual property terminology and practices is a plus
