Carolinas Medical Center seeks a detail-oriented Administrative Assistant II to support the clinical operations of our 4B Hematology/Oncology Unit in Charlotte, North Carolina. In this full-time day position, you'll be the organizational backbone of a specialized medical department, coordinating schedules, managing records, and enabling seamless patient care delivery.
Role Overview
As Administrative Assistant II for the Hematology/Oncology Unit at Carolinas Medical Center, you'll handle complex administrative tasks that keep our department running smoothly. You'll work alongside physicians, nurses, and clinical staff to manage patient interactions, maintain critical documentation, and ensure efficient scheduling across our Charlotte location. This is a full-time, daytime position offering the opportunity to support meaningful work in cancer care and blood disorder treatment.
Day-to-Day Responsibilities
- Manage patient scheduling, appointment confirmations, and calendar coordination for the Hematology/Oncology Unit
- Organize and maintain medical records, ensuring accuracy and compliance with healthcare regulations
- Provide administrative support to physicians and clinical staff during patient interactions
- Answer phones, direct inquiries, and respond to patient and provider requests
- Process referrals, prior authorizations, and insurance documentation
- Prepare reports and maintain databases relevant to unit operations
- Assist with supply ordering, inventory tracking, and general departmental organization
- Support clinical workflows and contribute to a professional, patient-centered environment
Who We're Looking For
- Proven administrative experience, preferably in a healthcare or clinical setting
- Strong organizational and time-management skills with ability to prioritize competing demands
- Excellent written and verbal communication abilities
- Proficiency with electronic health records (EHR) systems and Microsoft Office Suite
- Detail-oriented approach to documentation and data entry
- Ability to maintain confidentiality and handle sensitive patient information professionally
- Collaborative mindset and comfort working within a multidisciplinary medical team
- High school diploma or equivalent; associate degree or medical administrative certification a plus
