About the Role

As a Patient Experience Representative I at Boston Children's Hospital's Waltham Sports Medicine clinic, you'll serve as a frontline resource for patients and their families — helping coordinate the administrative side of care so clinical staff can focus on what they do best. This is a fully onsite position with a set schedule of Monday through Friday, 9:30 AM to 6:00 PM.

What You'll Do

  • Greet and check in patients and families, creating a welcoming and efficient front-desk experience
  • Coordinate scheduling, registration, and appointment workflows for Sports Medicine visits
  • Verify patient demographics and insurance information at each encounter
  • Manage incoming calls, direct inquiries to the appropriate clinical or administrative teams, and handle follow-up communications
  • Prepare and maintain accurate patient records in compliance with hospital privacy and documentation standards
  • Assist with referral coordination and prior authorization processes as needed
  • Collaborate closely with clinical staff to support smooth patient flow throughout the department
  • Respond to patient and family concerns with professionalism, empathy, and a commitment to service excellence

What We're Looking For

  • Demonstrated ability to work effectively in a fast-paced clinical or administrative environment
  • Strong interpersonal and communication skills — written and verbal — with a patient-centered approach
  • Comfort working with electronic health record (EHR) systems and standard office software
  • Ability to handle multiple tasks simultaneously while maintaining attention to detail
  • A collaborative mindset and willingness to work closely under supervision while building professional skills
  • Prior experience in a healthcare, customer service, or administrative support role is a plus
