About This Position

This Medical Virtual Assistant role bridges patients, insurance companies, and the clinical team at US ophthalmology practices. You'll handle insurance-related tasks including eligibility checks, benefit reviews, and authorization processing while coordinating patient appointments and maintaining detailed clinical records. Your contributions ensure patients can access timely care while the practice stays operationally efficient and compliant with healthcare regulations.

Core Duties

  • Check patient insurance policies to confirm what vision and medical services are covered, including patient out-of-pocket costs such as copays and deductibles
  • Prepare and submit authorization requests to insurance companies for procedures and treatments requiring pre-approval
  • Call insurance carriers to clarify coverage questions, dispute eligibility issues, and record findings in the practice management system
  • Receive patient phone calls, book appointments, adjust scheduling as needed, confirm upcoming visits, and answer routine patient questions
  • Enter and maintain patient medical records using the electronic health record platform with accuracy and completeness
  • Work with the clinic team to resolve insurance questions, respond to last-minute insurance concerns, and handle scheduling adjustments
  • Protect all patient and insurance information according to HIPAA requirements and the clinic's confidentiality policies

Who We're Looking For

  • Direct experience working within US-based ophthalmology clinics or supporting eye care physicians (required)
  • Demonstrated expertise in insurance verification and managing authorization workflows
  • Hands-on experience with electronic health record and electronic medical record software
  • Experience scheduling patient appointments and sending appointment confirmations
  • Background answering patient phone calls and providing telephone-based patient support
  • Knowledge of how vision insurance and medical insurance plans structure copays, deductibles, and covered services
  • Experience negotiating with insurance companies to resolve coverage questions and authorization issues
  • Medical billing and coding background (preferred but not required)
  • Strong spoken and written English proficiency
  • Excellent interpersonal and patient communication abilities
  • Exceptional organizational skills, attention to accuracy, and ability to prioritize multiple concurrent tasks
  • A dedicated workspace and reliable high-speed internet connection
