About the Role

Through Scout Clinical, we specialise in patient reimbursement and travel coordination for clinical trials, serving major life sciences organisations. As a Clinical Trial Assistant, you'll be the operational backbone of our trial programmes, coordinating essential activities, managing complex documentation, and ensuring every study runs smoothly from start to finish. This role offers genuine variety, combining administrative expertise with direct involvement in the clinical research process.
Core Duties
- Coordinate and oversee assigned study activities in partnership with Project Managers, tracking operational milestones throughout the trial lifecycle
- Maintain study schedules, coordinate training sessions, onboarding, and project meetings to support continuous study operations
- Prepare, review, and finalise study documentation and required compliance reports
- Liaise with external stakeholders and client operations teams to facilitate efficient document exchange and project progress
- Configure and administer study setups within the Scout Clinical platform, managing user access, credentials, and portal functionality
- Lead cross-functional collaboration with internal teams, including patient liaison and operations groups
- Manage client-facing communications and shared mailboxes, ensuring professional and timely responses
- Process invoices for translation services and other study expenses; administer virtual card payments and ScoutPass distribution
- Conduct customer surveys, compile feedback data, and report findings to support continuous improvement
- Provide technical support to Scout portal users and contribute to special projects as directed by leadership
What We're Looking For
- Bachelor's degree or equivalent professional experience
- 1–2 years of clinical research or trial-related experience strongly preferred
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and web-based systems
- Familiarity with foreign currency conversion and international transactions
- Ability to manage multiple projects and deadlines simultaneously while working independently
- Strong attention to detail and commitment to accuracy in documentation and reporting
- Professional, articulate communication style with clients, vendors, and colleagues
- Customer service orientation and genuine interest in supporting patient-centred outcomes
- Adaptability and patience in fast-paced environments; composed under pressure
- Growth mindset with enthusiasm for learning new systems and developing new skills
- Self-motivated, results-driven approach that balances initiative with collaborative teamwork
