Research Administrator Trainee (RAISE)

SBHU is seeking a motivated Research Administrator Trainee (RAISE) to join their team in Stony Brook, Suffolk County.

About the Role

This full‑time entry‑level position supports the administrative and financial aspects of research projects across the institution. The trainee will work closely with senior research administrators to learn grant management, compliance tracking, and budget oversight while contributing to the success of faculty‑led studies.

What You'll Do

• Assist in preparing and submitting grant proposals, ensuring all required documentation is complete and accurate.
• Maintain organized records of awards, expenditures, and progress reports in accordance with university policies and sponsor guidelines.
• Help monitor budget expenditures, process invoices, and reconcile financial statements for active research accounts.
• Coordinate with principal investigators and department staff to schedule meetings, track milestones, and facilitate communication.
• Support compliance activities by tracking IRB, IACUC, and other regulatory approvals and ensuring timely renewals.
• Perform routine data entry, generate standard reports, and assist with audit preparations as needed.
• Participate in training sessions and professional development opportunities to build expertise in research administration.

What We're Looking For

• A Bachelor’s degree or its foreign equivalent; alternatively, an Associate’s degree paired with two years of relevant work experience.
• At least one year of full‑time experience in administration, finance, or a research support setting.
• Experience gained during graduate or doctoral studies in a research environment satisfies the experience requirement.
• Strong attention to detail and the ability to manage multiple deadlines with minimal supervision.
• Proficiency with standard office software, including word processing, spreadsheets, and email platforms.
• Effective communication skills, both written and verbal, for interacting with faculty, staff, and external sponsors.
• A proactive attitude and eagerness to learn the policies and procedures governing university‑funded research.
