About This Position

As a Notary Signing Coordinator with Certified Mobile Notary Service, you'll partner with clients, notary agents, and internal teams to orchestrate smooth, compliant notarization processes. This is an on-site, full-time role in Fort Worth that combines administrative precision, customer service, and support for both traditional and digital notarization workflows. You'll work at the intersection of real estate closing, compliance, and technology—ensuring every signing is scheduled, staffed, and executed flawlessly.

Responsibilities

  • Schedule and coordinate notary signing appointments, managing calendars and client requests across Tarrant County
  • Match notary agents to loan signings and other notarization assignments based on availability, qualifications, and proximity
  • Communicate directly with clients, signing companies, and notary professionals to confirm details and resolve scheduling conflicts
  • Support remote online notarization (RON) operations, including technical coordination and compliance documentation
  • Track loan signings and closing timelines to ensure deadlines are met
  • Maintain accurate records of signings, agent assignments, and client feedback
  • Provide quality assurance and process improvements to enhance client satisfaction

Qualifications

  • Current Notary Public certification (or willingness to obtain within 60 days of hire)
  • 2+ years of experience in notary services, legal administration, or customer-facing operations
  • Exceptional organizational and time-management skills
  • Strong verbal and written communication abilities
  • Proficiency with scheduling software, CRM platforms, and email systems
  • Understanding of loan closing workflows and real estate transactions (preferred)
  • Attention to detail and commitment to regulatory compliance
  • Ability to work full-time, on-site in Fort Worth
