Position Summary

We're seeking a detail-oriented Administrative Secretary to provide comprehensive administrative support to our healthcare teams. In this full-time role, you'll be the backbone of our office operations, managing schedules, correspondence, and documentation while maintaining the highest standards of professionalism and confidentiality in a fast-paced medical environment.

Responsibilities

• Manage calendars, meetings, and appointments for physicians and administrative staff
• Handle incoming and outgoing correspondence, email management, and business documentation
• Prepare, format, and maintain reports, memos, and professional documents
• Answer phones, screen calls, and direct inquiries to appropriate departments
• Maintain filing systems, both physical and digital, ensuring accurate record organization
• Coordinate scheduling and logistics for departmental meetings and events
• Support human resources functions including new hire orientation and employee documentation
• Assist with data entry and maintain accurate information in hospital systems

What We're Looking For

• High school diploma or GED; additional secretarial training or certification a plus
• Proven experience in an administrative or secretarial role, preferably in a healthcare setting
• Strong typing skills and proficiency with Microsoft Office Suite and email systems
• Excellent verbal and written communication abilities
• Outstanding organizational skills with ability to prioritize multiple tasks
• Discretion and ability to handle confidential patient and employee information
• Professional demeanor and strong interpersonal skills
