Position Summary

As a Clinical Administrative Office Specialist IV, you'll lead administrative operations in our pediatric urology clinic. This level IV role demands advanced expertise in healthcare administration, managing complex clinical workflows and patient experiences from scheduling through follow-up. You'll partner with physicians, nurses, and clinical staff to enhance clinic efficiency while maintaining exceptional standards of patient care and medical record confidentiality.

Core Duties

  • Manage patient scheduling, appointment coordination, and clinic flow to optimize provider productivity and patient satisfaction
  • Answer and triage patient phone and in-person inquiries with clinical awareness and professionalism
  • Process, maintain, and file patient medical records and clinical documentation in full HIPAA compliance
  • Coordinate with billing and insurance teams on payment questions, coverage verification, and claims resolution
  • Support clinical staff with supply ordering, chart preparation, and treatment room readiness
  • Complete patient intake, obtain consent forms, and communicate pre-visit instructions
  • Manage clinic operations including correspondence, resource scheduling, and maintaining clinical workspace standards
  • Address patient and family questions with empathy and practical clinical knowledge

Qualifications

  • High school diploma or GED required; college coursework preferred
  • 5+ years of healthcare administrative experience in a clinical environment
  • Proficiency with electronic health record (EHR) systems and medical office software
  • Strong written and verbal communication with patients and clinical professionals
  • Excellent organizational skills and attention to detail in a dynamic setting
  • Working knowledge of HIPAA regulations and patient privacy standards
  • Compassion for pediatric patients and families, with strong teamwork abilities
  • Medical administrative certification (CMAA, CMAS, or equivalent) preferred
