Administrative Specialist (REMOTE)

Join Institute for Building Technology and Safety as a Full-Time Administrative Specialist supporting our Plan Review Department. Based remotely with occasional travel to the DC metro area, you'll be the organizational backbone that keeps our team running smoothly.

About the Role

We're building a team of professionals dedicated to advancing building standards and safety compliance. Our Plan Review Department evaluates and manages critical documentation and process workflows. This Administrative Specialist position is fundamental to that mission—handling scheduling, correspondence, records management, and internal coordination so our reviewers can focus on their technical work.

What You'll Do

• Manage calendars, meetings, and schedules for department staff
• Handle incoming communications and route inquiries to the appropriate team member
• Maintain and organize project files, documents, and administrative records
• Prepare materials, agendas, and follow-up documentation for department activities
• Assist with data entry, tracking, and reporting tasks
• Coordinate logistics for department operations and occasional in-person meetings
• Support interdepartmental communication and process improvements
