Gilead Sciences, Inc. is seeking a Senior Event Planner, Medical Affairs Congresses to join our team in Belmont. This is a full-time position where you'll lead the strategic planning and execution of major medical conferences and educational congresses that advance our mission to develop transformative therapies for patients worldwide.
About the Role
As a Senior Event Planner focused on medical affairs congresses, you'll be responsible for managing end-to-end event strategy and execution for high-impact scientific and medical conferences. This role combines project management expertise with a deep understanding of healthcare industry requirements, regulatory considerations, and clinical education. You'll work cross-functionally with internal stakeholders, external event vendors, healthcare professionals, and industry partners to deliver world-class congress experiences that strengthen Gilead's presence in the medical community.
What You'll Do
- Lead comprehensive congress planning including budget development, vendor selection, site negotiations, and timeline management
- Coordinate with medical affairs, marketing, and clinical teams to align congress objectives with company strategy and therapeutic area goals
- Manage speaker recruitment, scientific program development, and educational content delivery for medical congresses
- Oversee logistics including registration systems, attendee communications, on-site operations, and post-event analytics
- Ensure compliance with healthcare industry regulations and sponsorship guidelines throughout all congress activities
- Build and maintain relationships with external event partners, venue management, and medical conference organizers
- Monitor event budgets, manage expenses, and deliver ROI reporting to senior leadership
What We're Looking For
- 5+ years of event planning experience, with demonstrated success managing large-scale medical or scientific conferences
- Strong knowledge of healthcare industry requirements, FDA guidelines, and sponsorship compliance
- Excellent project management and organizational skills with attention to detail
- Ability to manage multiple complex events simultaneously while meeting tight deadlines
- Strong communication and interpersonal skills for working across diverse internal and external teams
- Proficiency with event management software, registration platforms, and standard business applications
- Bachelor's degree in business, communications, event management, or related field
